How can I add an event to a teacher’s calendar but not require them to be covered? There is a field on the event management screen called 'Personal' - any event flagged as personal will not appear in the covers as requiring covering.
If a teacher creates an event on their own calendar, it will automatically be flagged as personal.
A personal event will only be viewable if one of the following is true:
You have been given permissions by the owner of the event to see their events (eg the head of school might give their PA permissions to see and manage personal events. We do not have a screen for this authorisation setup yet. The personal event is for a student and a teacher is looking at the page.
I want an event to appear on everyone's calendar - how do I do that? An event will appear on everyone's calendar if the following conditions are met:
I am seeing a lot of markbook entries in the calendar, why can't I edit them? One of the great things about the iWise calendar, is that it can not just show events you have created, but it can also show markbook tasks, sickbay visits, resource bookings, absences, lates and early leave, detention attendances, timetables, cancelled classes and covers. You will only see many of these values if you select a particular person to view. However, the markbook and events may show without a person specified. If you created a markbook task, or the task is for a subject you teach, then that task will appear. Markbook tasks are only editable via the markbook module or via the Home/Timetable/All screens at the moment, not the Calendar/Events/List screen.
How can I hide all the markbook entries? You can hide these markbook items by setting the 'markbook' filter to 'show no tasks'
Why do some events appear on the iWise Professional login screen and other's don't? This is controlled by the calendars that an event belongs to. You can manage which calendars appear on the login page via the Calendar | Events | Calendars screen.
Why was my class automatically cancelled? If all students are away from a class for the full duration of the class, then the class will be automatically cancelled. The students might be out of class because:
If a student misses the first half of a class due to a cello lesson, and misses the second half because they are in the sickbay, then iWise will not have them as absent for the whole period. An event/ absence/ sickbay item must cover the whole period for iWise to consider the student as not being in class..
When a class is cancelled, the teacher is flagged in the covers area as a priority to be given a replacement class in that period.
A teacher told me they created their own event – why can’t I see it? If the teacher created their own event by dragging out an event on their own calendar, then it will automatically be set to be private. Private events can’t be seen via Calendar | Events | Manage. There is a trick, however, to show them on Calendar | Events | Manage. If you select the teacher in the Attendee’ field in the Search area, the private event created by that teacher will appear.
Should I add attendees to our Year 10 parent/teacher evening event? It depends if you are happy for the event to appear on everyone’s calendar, or just on the calendars to whom the event is relevant. If you want this event to appear on only specific teacher or student’s calendars then you will need to add the specific teachers and students as attendees to the event. If you are happy for the event to appear on everyone's calendar, create the event without adding any attendees. |
