The interaction between an event roll and the whole day school roll

     

Once a student is recorded as an expected attendee to an event, this can be viewed on the main attendance screen (Data Entry | Attendance | Manage).

When the event roll is marked, if the student is absent, this will show on the main attendance screen as On Event (absent).

lightbulb_on In addition to this, if the event is flagged for ‘whole day absences’, when the event roll is marked whole day absences will be created for absent students. See below for more information.

 

 

If the student is absent from the event, but present at school, the record can be altered on the main attendance screen to On Event (at school). The change flows back to the event roll.

lightbulb_on The On Event (at school) option is designed to allow you to record that a student was supposed to be at an event, but didn’t go. iWise could, in theory, allow you to just delete the On Event record and therefore make them present at school. But by doing this, iWise would think that they had returned to their regular class. This could have negative implications for cancelled classes and covers. It is better to use the On Event (at school) option.

 

lightbulb_on If your school requires students who miss an event to go to the library (or similar), using an open registration event to record their attendance to the library will allow you to record not only that they are back at school, but their specific location.

 

If a whole day absence is created for the student before the event (via Attendance | Manage), the whole day absence will be displayed and the event attendance will be updated to show that they are absent. The student will have two rows in the main attendance grid.

This same rule applies if the event has been flagged for Whole Day Absences. When the event role is marked, whole day absence records will be created for absent students.

An event has been flagged for whole day absences and a student is marked absent. But instead of being at home they are actually spending the day at school.

Do this:

Delete the whole day absence that was automatically created and change the On Event row to One Event (at school).
