The interaction between period roll marking and whole day roll marking

     

As the roll is marked for the first time each day, depending on your school’s set up, this can then create whole day absence records for absent students. The assumption is that if they have missed their first period then it is likely that they will be absent for the full day.

The whole day absence will be seen via Data Entry | Attendance | Manage, and the student will automatically be marked as absent on any future period rolls.

If the student then turns up late, and the teacher changes their attendance status from ABSENT to PARTIAL, this will flow through to the whole day absences screen and they will appear as partially absent there too. Back on the full marking screens, the student will then be, by default, present in future periods.

It is important to note that only future periods will be affected. Say, for example, a student was initially marked absent, but then they turned up late. If the teacher forgot to change their attendance status from absent to partial in class but then did it at lunch time, any period roll that had been marked in the mean time would not be updated. Only future periods and periods that did not get marked would get updated. This workflow is designed on the assumption that the teachers who marked their rolls in class after period 1 and before the absence was changed know what they are doing and will have marked the student present if they are there.
